The Sta*Ware EDV Beratung GmbH is bringing another innovation to the market with the current release SW3.1 of its office and project management software **StaWare BusinessNavigator E&P**:
Companies can now display all project dates and milestones in a compressed, Gantt-based overall view. Drill-down allows navigation down to the task level. In addition, an integrated shift function for work phases enables direct simulation of the impact on employee workload and deployment planning.
“With this new view, the effects of project delays can be easily visualized, and ‘what-if’ scenarios can be simulated in real time,” explains Christian Paucksch, Managing Director of Sta*Ware EDV Beratung GmbH.
“Quotations can also be incorporated into the planning. Overloads of individual employees or resource pools become immediately visible and can be quickly balanced using the integrated functions.”
Creating quotations is done in just a few minutes using the integrated fee assistant and service catalog. Converting a quotation into an order is possible with just a few clicks. Afterwards, you generate your internal project-specific project structure and organize all related documents, emails, and notes within this structure.
Workflows and tasks for internal processing can be activated with a click. Each individual processing step is documented, and time tracking occurs in parallel. Functions for handling deficiencies and logging are fully integrated.
Based on the quotation and order items with the assigned resources or resource pools, a percentage-based rough plan is initially calculated from the fees and distributed over the intended service period.
With the start of individual project phases, the detailed planning is activated. This is based on the specific tasks to be completed. Through directly linked time and performance tracking, the remaining effort until the next milestone is determined.
The embedded workflows and the Business Process Engine support project staff by automatically providing the next tasks and process steps.
Employee workload takes into account individual time models, vacation plans, all holidays, and other operational absences.

For the first time, users can submit requests directly to various AI systems from within the software—via an integrated chat dialog that works seamlessly with project data, documents, and emails from the BusinessNavigator.

Directly Submit Documents and Emails to the AI
For the initial request, documents, emails, or notes from the current project can be selected and submitted to the AI system.
Additional content can be added during the chat.
The responses generated by the AI can be immediately saved and further processed as a note, document, or email within Sta*Ware BusinessNavigator.

AI-Supported Employee Deployment Planning Reduces Costs
In a further development step, Sta*Ware is expanding BusinessNavigator with AI-based functions for project and employee deployment planning.
These analyze ongoing projects and take into account changes, amendments, or delays to ensure optimal resource allocation at all times.

The new version 3.02 of the office and project management software (BMSP) BusinessNavigator E&P from Sta*Ware in Starnberg can now automatically create employee assignments, visually display the resulting workload, and plan projects using GANTT charts.
The division into rough and detailed planning covers the different aspects of planning.
Engineering offices and planners repeatedly face the question of whether they can take on additional projects without jeopardizing the deadlines and delivery dates of ongoing projects. At the same time, an as-even-as-possible utilization of available employees and resources over the coming weeks and months is desired. Furthermore, the current workload should be retrievable at any time as a key figure per employee, department, or office with just one click, without any extra effort.
Sta*Ware addresses this issue with a methodology in which a rough plan based on data from current offers and orders and a detailed plan from the currently assigned tasks are clearly compiled in a weekly and monthly schedule.
For the order items, the planned service period and scope are known. The time requirement of resources or pools is determined via the respective cost rate from the fee of each service phase.
Rough plans are converted into detailed plans with a click using a project structure assistant with configured workflows and process controls.
When using the fee assistant integrated in Sta*Ware BusinessNavigator, the tasks according to Siemon tables or AHO can be used to describe the scope of services. Otherwise, a custom configuration can be used at any time to define the required tasks within the detailed plan.
The effects of shifts within projects or entire service phases are immediately visible in the updated plan.
Planners and engineers can move entire projects, individual service phases, or tasks within projects, along with dependent tasks, with a single click. The workload of the affected employees is immediately adjusted, and the effects are visible in the GANTT chart of each project. Dependencies to other tasks can also be set across projects. Subprojects are possible.
Automated and integrated employee assignment planning reduces costs.
Processing individual tasks by employees and time tracking for each task gives the project manager an overview of the current progress at any time.
No further action is required to create the plan and determine the workload. The figures are available online at any time, and the integrated feedback on the progress of work is part of the Sta*Ware BusinessNavigator methodology.
With the Task Center and the BusinessProcessEngine, Sta*Ware provides a meaningful addition to process projects efficiently and transparently.
The Task Center is available for displaying individual or project-related to-do lists. Employees find it very easy to handle tasks, track time, schedule appointments, and communicate internally via chat. Thanks to the link to the process, access to documents and emails of the respective work step is always available.

The new version 3.0 of the office and project management software (BMSP) BusinessNavigator E&P from Sta*Ware in Starnberg can now automatically create, receive, and process e-invoices in the XInvoice format. The software thus meets all legal requirements applicable from 2025 and streamlines invoicing processes.
At the beginning of 2025, the exchange of invoices between domestic companies must be issued, transmitted, and received in a structured digital data format. The data format must comply with the European standard EN 16931 for electronic invoicing, enabling automated and media-break-free invoice posting, verification, and approval. PDF invoices will no longer be permitted for services rendered from 2025 onwards—with a transitional rule in place until the end of 2027. The new version 3.0 of the BMSP software Sta*Ware BusinessNavigator E&P fully complies with the e-invoicing requirement. Planners can use it to receive and create e-invoices in the currently most important e-invoice format, XRechnung, in accordance with legal requirements. The basis of XRechnung is the XML standard format UBL (Universal Business Language), which Sta*Ware BusinessNavigator E&P can import and export in versions 2.1, 2.3.1, and 3.0.1. Additionally, invoices in the so-called ZUGFeRD hybrid format CII (Cross Industry Invoice), which contains both machine-readable XML and human-readable PDF data, can also be imported.
Automated invoice processes streamline workflows
The new invoice formats are fully integrated into the automated invoice workflow of Sta*Ware BusinessNavigator E&P: outgoing invoices are created as before and, after internal review and approval, converted by the program into an XML file containing the XRechnung data as well as, if applicable, embedded PDF files and other digital attachments. The XRechnung can then be sent manually or automatically via email. Alternatively, transmission of the XRechnung to customer web services is also possible. Incoming invoices are read in the XRechnung format and processed either via menu or automatically. The imported invoice data is clearly displayed in a self-explanatory interface with all data fields extracted from the XRechnung. Upon data import, the integrated incoming invoice workflow in Sta*Ware BusinessNavigator E&P is automatically started. The extracted information is formally and substantively checked and prepared for invoice approval, including reconciliation of ordered quantities and prices if necessary. Through pre-configuration in the customer master data, all these steps can also be automated, further streamlining invoice processes. Supported invoice types include (partial) invoices, interim invoices, (partial) final invoices, and credit notes. Incoming invoices in the hybrid XML and PDF format can still be analyzed and processed using OCR text recognition. The XRechnung files are stored, managed, and archived in the Sta*Ware BusinessNavigator DMS document management system. Audit-proof invoice storage and archiving follow the “Principles for Proper Management and Storage of Books, Records, and Documents in Electronic Form, as well as Data Access” (GoBD).
